Exclude Time Conflicts:
We have worked closely with our Licensed Home Care Agencies to enhance the functionality for their non-Medicaid payors and improve flexibility with visit verification processes. To achieve this we have incorporated the ability to Exclude Time Conflicts at the Contract/Payor level.
A new toggle switch has been added to payors to allow Agencies to exclude time conflicts on any non-Medicaid payor.
Navigator to Admin > Settings > Contracts/Payors
Select the Contract/Payor > select the Visit Type
A new field has been added “Exclude Time Conflicts” if toggle to YES, then time conflicts validations will be removed for the specific payor and visit type. Good for Private Pay and some non- Medicaid payors.
2. Employee Status Display
When searching for an employee – we have added a Status to the far right of the screen that will show if they are Active, Hold, Terminated, Inactive, etc.
3. Attending Provider setting from Payer in EDI
Some payors / claim formats may require the Physician information to pull to the claim. For those payors a flag has been added to the Contract/Payor setup main page to toggle to yes if the Attending Provider Information Is Required for the claim.
Navigate to Admin - Settings - Contract/payors - Select the Payor
On the Payor's Main screen there is a new toggle for including the Attending Provider to the claim / EDI.
4. Authorization Alert Report
In the Alerts section the report: Patient(s) has expiring authorization within 90 days – the report generates anyone going back 60 days and forward 30 days with an expiring authorization. Per the request of some of our Partners the ability to control that frequency functionality has been added to the system.
Navigate to Admin > Agency > Miscellaneous
New field added: Auth Alerts Period. The default is set at 90 days but can be changed through the drop down box to 30 days, 60 days or the 90 day default.
5. Permissions Update
Per the request of several Visiting Aid partners, we have added new permissions to our user roles to control who can update the status of Patients and/or Employees.
For Patients – the new permission impacts the Admission section of the patient’s general info page.
For Employees – the new permission impacts the Employment section of the employee’s general info page.
To limit the ability to edit one or both of these sections....
Navigate to Admin > Users > Roles
Select the role to be updated
For patient Admission area the permission is “General Admission” uncheck under the column for Add/Edit. By default – they will be able to View the section.
For employee Employment area the permission is “General Hire History” uncheck under the column for Add/Edit. By default – they will be able to View the section.
Save changes.
6. New User Guides
Several new user guides have been added to the Help Center. These guides provide details directions with print screens on how to use various areas of the Visiting Aid system.
To reach the Help Center... Navigate to Support - Help Center and click the link.
The guides are located under the Documentation Section of the Help Center

7. Update to Payment Reconciliation by Payor report
Hyperlinks have been added to the report.
Click on patient name, it will navigate to Patient calendar
Click on batch # it will navigate to Submission Batch Details.
8. EVV Pin on Employee Page
A field has been added for EVV PIN to the Employee Page this is used by some Agencies when they need to retain the PIN from another system.
